Enhancements

• We've updated Flag Management to provide a new Integration Rule for Optima Health Roster, called 'Rostered onto an Activity', to check if the claimant is rostered onto an activity on the date they claimed their expense item. (187094)

• We've updated our suite of API endpoints to accommodate the new integration flag rules. The use of these API endpoints for the new integration rules is only allowed if the account is enabled for Optima Health Roster integration.  (18883)    

Bug Fixes

• We've fixed an issue where the annual cumulative mileage was not being updated when creating the "Fixed Mileage Deduction" expense item on claim submission. (188950)  
• We've updated the home home-to-office mileage deductions when using international address lookups. Now, the deduction will be correctly made when typing in the postcode of the office address rather than using the office icon. (189533)  
• We have updated the self-registration options. Now, when the person who is registering enters their home address through the address lookup service, the country for the address will be correctly saved with the other address details enabling the address to later be used for mileage distance calculations. (189587)  
• We've made a change to the "My Details" page to prevent an error from occurring when there is no mileage on the current claim to be included in the annual cumulative mileage. (189598)  
• We've updated the home-to-office mileage deductions when using international address lookups. Now, the deduction will be correctly made when typing in the postcode of the home address rather than using the office icon. (189608)

Bug Fixes

• We've fixed a cosmetic issue on the add or edit expenses page to ensure that the asterisks that denote mandatory fields are equally aligned. (189166)
• We've updated the header on the "Add Holiday" page to display the relevant message to the user. (34026)
• We've made an update to broadcast messages so that when the administrator saves a new message with a title that has more than the maximum number of allowed characters the title will truncate to the maximum allowing the message to be saved and activated. Previously, when attempting to save a message where the title was too long an error occurred. (189364)

Bug Fixes

• We've fixed an issue where an error was displayed to the claimant when they chose a blank entry for the country field. Now the claimant is advised to make a valid selection. (189156)
• We've fixed an issue in the email notifications where user-defined field contents were not showing in the "New Vehicle Added" email notification to the administrator, when the new vehicle detail had been entered using the mobile. If the information for the new vehicle was entered using the desktop version the detail was included in the email notification. (180678)
• We've fixed an issue on the "Change My Details" page where some mandatory fields were not being marked with an asterisk when the user tried the save the changes. (121378)

Bug Fixes

• We've made a minor change to the expenses page so that where the 'Reason' field has been defined as mandatory but the claimant hasn't entered any information, the mandatory field indicator displays. (111106)

• We've updated the currency exchange rates so that where they are entered monthly by the system administrator, the new rate becomes immediately available to the claimant. (184267)

New Enhancements

• We have provided a new API End Point to allow the return of active assignment details for a specified employee, subject to access role permissions to view this information. This will return the assignment details, active setting, earliest start date, effective start, and effective end dates. The original API End Point to retrieve the ESR Assignment details for the current (logged in) user still exists and is unchanged. (188179)

• We have updated the name of the ESR mileage field to "Mileage Rate Override" rather than “Mileage Override” to better reflect the purpose of the field, and so that ESR mappings are correctly configured. (188314)

• We have updated the "Data Loader" to allow start and end date to be specified when assigning an item role to an employee. (187675)

• We have enhanced the performance of the Fuel Receipt to Mileage Allocations calculations to prevent timeout issues. These issues could occur when making the calculations in systems where a very large number of mileage items are saved and are included in the calculations. (188176)

• We have enhanced the expenses report writer to make the expense item country account codes reportable. Now, it is possible to include a separate code in the report for an expense item, depending on which country the expense was incurred in. (187980)

New Features

• We have replaced the deprecated "Postcode anywhere" address lookup and retrieval service with the new version from "GBG Loqate". This is replaced in both the web version of Expenses and in the Expenses Mobile App. New build properties were no longer being added to the database for the older Postcode Anywhere system but now that this is replaced, addresses for employee records and mileage claims should be successfully identified. • We have updated the new "GBG Loqate" address retrieval service to include address coordinates for those countries where it is not possible to look up and retrieve address details using a postcode. (187679) 

• We have updated the summary grid in the Countries menu to replace the reference to "Postcode Anywhere". Now the field displays as "Postcode Lookup" to indicate whether addresses can be looked up by postcode in the country configured for use in the Expenses system. (187704)

• We have updated the Tailoring General Options field descriptions in the "Addresses and Distances". The new field names are, "Enable address lookup service" and "Distance calculation type". Previously, the fields referred to the name of the address lookup service provider. (187975)

• We have added a new feature to the imports/exports section for the administrator to allow an import log to be viewed for any file that is manually imported to the system, or for any corporate card statement uploaded using one of the automatic daily card statement feeds. (187558)

• We've added an extra column to the employee work addresses summary page for the employee's nominated work address location. The change is only applicable for NHS databases and the column will not show in the summary page for any government or commercial client systems. (187676)

• We have updated the API documentation to reflect more accurately the function of the "PATCH Addresses/{id}/Archive/{archive}" end point. Previously, it indicated that the selected address would be deleted, instead of archived.  (187769)

• We have added a new option that can be configured for a mileage expense item. The new option will allow a home to nominated base deduction for every mileage journey step. This will be able to be used for relocation mileage where an employee has a nominated base but may be rotating to different work addresses on placement or secondment. An example may be a junior doctor on rotation to different hospitals or clinics. (187854)

• We've updated the flag management option so that a claimant viewing their submitted or previous claims can now view the approver's justification for allowing an item to be reimbursed when the potential duplicate flag rule is indicated for the item. • We have fixed an issue in the mileage journey grid so that clicking on the office icon will only display the current work addresses. Typing the key word for the work address will however return the claimant's work addresses, and any address containing the keyword. (147968)
  
  
• We have updated the grid for the flag policy items. Previously the grid width only displayed correctly for the first page of items. Now, the summary of expense items associated with the flag displays correctly on pages 2 onwards. (152001) 
  
  
• We have updated the API documentation to more accurately reflect the function of the GET Currency Exchange Rates end point. Previously, it was described incorrectly in the documentation as a POST call. (156568)
  
  
• We've made an improvement to the address option so that if an address already exists it will display to the user if they try to add it to the system again. (161234)
  
  
• We have updated the mileage functionality so that where a claimant has multiple work addresses the mileage journey steps are not restricted to selection of just one. Previously, if more than one work address was selected, the system assumed and only allowed one work address so that all work addresses in the journey would be the same. (188053)
